Your information enables the BDF to verify your identity, process visitor permits, confirm host approvals, facilitate access control, manage entry and exit procedures, enhance security, communicate with you regarding your visit and provide visitor support where necessary.

Depending on the nature of your visit, we may collect your full name, National Identity Number or Passport Number, contact information, residential address, photograph, vehicle details, emergency contact information, organisation, purpose of visit, person or office being visited, QR code identification, permit information, check-in and check-out records, and other information reasonably required for visitor management and security purposes.

How Your Information Will Be Used

Your personal information will only be processed for lawful visitor management, security, administrative and operational purposes directly related to your visit. The information assists the BDF in maintaining secure facilities, verifying authorised access, monitoring visitor movements where necessary, providing visitor services, investigating security incidents when required and complying with applicable legal obligations.

Protection of Your Personal Information

The Botswana Defence Force is committed to protecting your personal information through appropriate administrative, technical and physical security measures. Access to your information is restricted to authorised personnel with legitimate operational responsibilities. Your information will not be disclosed to third parties except where required by law, court order, lawful security investigations or other legally authorised government processes.

Retention of Information

Visitor information will be retained only for the period necessary to fulfil operational, legal, administrative and security requirements in accordance with the Botswana Data Protection Act, applicable government regulations and BDF record management policies. Information that is no longer required will be securely archived or disposed of using approved procedures.
